Export Data From UnitWise

We are able to import your data from UnitWise including customers, contacts, team, inventory, invoices, sales receipts, and expenses. Moving data from UnitWise to QT office is done in 3 parts: Exporting, Converting, Importing.

Considerations before exporting from UnitWise

  • The export for Customers, Contacts, and Team includes name, address, phone number, email address, and credit balance only. Customer notes and birthdays are not included. Birthdays can be imported later from InTouch if they are present.
  • CDS orders that are not fulfilled from your inventory will not be imported.

Exporting

Begin your conversion from UnitWise to QT Office by exporting your data from UnitWise. Follow instructions below. It might be helpful to change your browser's download settings first.

Customers, Contacts, Team

Notes: You only have to export the groups you would like to import to QT.

  • Customers >> Customer Center >> Active Customers
    Go to the Customer Center and click on the group you would like to Export. Supported options include Active Customers, Inactive Customers, Contacts, Unit/Team Members, and Ex-Team Members. Once you select a group click All, click Export button and choose CSV. Default file name is Customer Center.csv.  Add "active" to the file name.
    You can then move to the next group and follow the same steps. Important: Add identifiers to each file name when saving. (e.g.: active, inactive, contacts, team, exteam)

  • Reports >> Customers >> Customer Address List
    Address list only needs to be exported for the same groups you exported in the previous step.
    Click Run Report, click Export button and Choose Excel. Default filename is RptCusotmeraddressDetails.xls.
    Add identifiers to each file name when saving. (e.g.: active, inactive, contacts, team, exteam)
    This file will need to be converted to CSV after downloading.

Inventory

Notes: if your inventory is not correct in UnitWise you can skip this step and manually enter your current inventory in QT Office.

  • Reports >> Products >> Quantity On Hand
    Set Product Type to All Items. (Optional: if you do not wish to import Section 2 products set category to "Section 1 items".) Click Run Report, click Export button and Choose Excel. Default filename is RptProductQtyOnHand.xls. This file will need to be converted to CSV after downloading.

Invoices and Sales Receipts

Notes: Invoices and Sales Receipts are used to recreate your customer purchase history. All Invoices and All Sales Receipts files (up to 12), Total Sales (Income) report, and Inventory Audit Trail report are all required to build your customer purchase history. Historic Invoices (if you have any) are optional, but recommended.

  • Customers >> Invoices >> All Invoices Default filename is Customer Invoices.csv. To avoid confusion it is recommended that you add an identifier to the filename.

    Click A to E, click Export button. Add "A-E" or some other identifier to the filename.
    Click F to J, click Export button. Add "F-J" or some other identifier to the filename.
    Click K to O, click Export button. Add "K-O" or some other identifier to the filename.
    Click P to U, click Export button. Add "P-U" or some other identifier to the filename.
    Click V to Z, click Export button. Add "V-Z" or some other identifier to the filename.
    Click ..., click Export button (if any invoices appear). Add "other" or some other identifier to the filename.
  • Customers >> Sales Receipt >> All Sales Receipts Default filename is Sales Receipts.csv. To avoid confusion it is recommended that you add an identifier to the filename.

    Click A to E, click Export button. Add "A-E" or some other identifier to the filename.

    Click F to J, click Export button. Add "F-J" or some other identifier to the filename.

    Click K to O, click Export button. Add "K to O" or some other identifier to the filename.

    Click P to U, click Export button. Add "P-U" or some other identifier to the filename.

    Click V to Z, click Export button. Add "V-Z" or some other identifier to the filename.

    Click ..., click Export button (if any sales receipts appear). Add "other" or some other identifier to the filename.

  • Reports >> Sales >> Total Sales (Income). For Time Period select Custom Dates and then enter date range. Start date should be the beginning of where we import invoices. We use 01/01/2000 to make sure we get everything, but you can choose a different date if you like. End Date should be today's date (the date you are exporting). Click Run Report. This is a large report and may take a few minutes to load and export. Once loaded click Export button and click Excel. Default filename is RptSalesBreakDown.xls. This file will need to be converted to CSV after downloading.
    Note: If you have problems loading this report you may need to change the Start Date to exclude some of your earliest sales.

  • Reports >> Sales >> Historic Invoices. For Time Period choose ALL Dates. Click Run Report. This is a large report and may take a few minutes to load and export. Once loaded click Export button and click Excel. Default filename is RptCustomerInvoiceDetails.xls. This file will need to be converted to CSV after downloading.
    Note: Not everyone uses historic invoices so if this report returns no data just skip it.

  • Reports >> Products >> Inventory Audit Trail. For Time Period choose ALL Dates. Click Run Report. This is a large report and may take a few minutes to load and export. Once loaded click Export button and click Excel. Default filename is RptInventoryAudit.xls. This file will need to be converted to CSV after downloading.
    Note: This file does not import your inventory, but it is required for recreating your customer purchase history. If you have problems loading this report you may need to change the Start Date to exclude some of your earliest sales.

    Expenses

  • Accounts >> Expenses. Select the Year and click the Export button and choose CSV. Default filename is Expenses.csv. Add the year you are exporting to the filename when saving. Do this for each year you would like to export.


Converting

Information from the Reports section of UnitWise can only be exported as xls files and they need to be converted to csv before they are imported to QT Office. See the video below for help with converting to csv.

Importing

Now that files are exported and converted, you are ready to import to QT Office.

Go to the Import From UnitWise page (found on the Account tab in QT) to complete your conversion from UnitWise to QT Office.

Post Import

Here are some things you need to know after you have completed your import.

Customers - Import includes name, address, phone, and email. Customer credits were also imported and you can apply them to future invoices.  Also, birthdays are not imported. If you have customer birthdays in InTouch then that information will be brought over when you import from InTouch.

Inventory - If your inventory in UnitWise was not accurate you can make adjustments in QT.  Loaned and Borrowed products are not imported, but they should have been reflected in your inventory totals. You can recreate any outstanding Loaned or Borrowed products in QT, but doing so will update your inventory again.

Invoices and Sales Receipts - CDS orders that were not fulfilled from your inventory are not imported.
